The Richmond Music School (RMS) is the largest not-for-profit music school in Richmond, dedicated to high standards in teaching music, in both private and class settings. RMS has delivered quality musical education to over 10,000 students and brought musical enjoyment to tens of thousands of residents in the City of Richmond over its four decades of service.
Challenge:
Following the COVID-19 pandemic, RMS faced significant challenges in its volunteer program. The number of active volunteers had declined substantially, making it difficult to support school programs and events effectively. The volunteer program lacked structure, leading to inefficiencies and unclear expectations for both volunteers and staff. Administrative tasks were time-consuming, placing a heavy burden on staff, and there was little to no documentation of policies or procedures, making it difficult to onboard and manage volunteers efficiently.
Solution:
To address these issues, I worked closely with the President of the Board, the School Principal, and the Volunteer Coordinator to develop a strategy for revitalizing the volunteer program. Throughout the process, I mentored the Volunteer Coordinator, guiding them through the implementation of key improvements.
The first step was conducting a thorough assessment of the volunteer program to identify gaps and areas for improvement. Based on this assessment, a structured implementation plan was developed to ensure a more sustainable and efficient volunteer program.
Key actions included:
Result:
The revitalisation of the volunteer program has yielded significant improvements. The number of active volunteers has more than doubled, allowing RMS to provide better support for its programs and events.
The new recruitment strategy has improved both the quantity and quality of volunteers, ensuring a more engaged and committed team. The implementation of a volunteer management system has streamlined administrative processes, saving time and improving overall efficiency. This system has also enhanced reporting capabilities and ensured that volunteer information is well-organised and secure.
With clear documentation in place, including handbooks and role descriptions, volunteers now have a better understanding of their responsibilities, leading to increased satisfaction and retention. The structured approach to recruitment and engagement has created a stronger, more sustainable volunteer program that will continue to support RMS’s mission for years to come.
